This policy explains what information GradeCharter collects, how we use it, and the choices you have. GradeCharter is operated by OnceOver LLC ("we," "us"), based in Charleston, South Carolina. It covers this website (gradecharter.com) and the GradeCharter application (app.gradecharter.com).
1. Information we collect
Waitlist requests
When you join the waitlist, we collect your name, title, company, the state you inspect in, work email, phone number, company size, the report software you use, and how you heard about us. We also record a one-way hash of your IP address to limit spam. We do not store your raw IP address with your request.
Account information
When you sign in, we receive your name and email address from the sign-in provider you choose. We never see or store your password. We also keep your company, role, state, plan, and usage records so the service works as expected.
Inspection reports you upload
To audit a report, you upload the finished report file. Reports often contain information about third parties, such as client names, property addresses, and photos of the property. You are responsible for having the right to share this information with us. We process it only to provide the service to you.
Technical information
Our servers keep standard logs, such as request times, pages requested, and error details, to keep the service secure and working. The application uses a session cookie to keep you signed in. This website does not use advertising cookies, tracking pixels, or third-party analytics.
2. How we use information
- To review waitlist requests and contact you about GradeCharter.
- To provide the service: audit reports, show results, and produce downloadable summaries.
- To secure the service, prevent abuse, and troubleshoot problems.
- To improve accuracy and reliability, using aggregated results and records of how the service performs.
- To bill you once paid plans are active, and to meet legal obligations.
We do not sell personal information, and we do not share it for advertising.
3. How AI processes your reports
GradeCharter runs on paid, enterprise cloud services and uses AI models to read report text and photos and identify findings. We use paid AI services whose terms do not allow the provider to use your content to train their models. The scoring rules are deterministic, but findings are identified by AI, and AI is not perfect. Results can contain mistakes and can vary by a few points between runs, so review findings before acting on them.
4. Service providers
We share information only with providers that help us run GradeCharter, and only as needed for their service:
- Cloud hosting providers: application and website hosting, file storage, database, and network security.
- AI service providers: processing report text and photos to identify findings.
- Security providers: spam and bot protection on our forms.
- Sign-in providers: account sign-in, using the provider you choose.
- Email providers: business email and service notifications.
- Stripe: payment processing, once paid plans launch. We never receive or store your full card number.
We may also disclose information if required by law, to protect our rights or the safety of others, or as part of a merger, acquisition, or sale of assets, in which case this policy continues to apply.
5. Where information is stored
GradeCharter stores and processes data in the United States.
6. How long we keep information
We delete uploaded report files from our storage after the audit is complete. We keep audit results, account records, and waitlist requests for as long as your account is active or as needed to provide the service, meet legal and accounting obligations, and resolve disputes. You can ask us to delete your information at any time, as described below.
7. Security
We use encryption in transit, access controls, separate test and production environments, and restricted administrative access to protect information. No system is perfectly secure, and we cannot guarantee absolute security.
8. Your choices and rights
You can ask us to access, correct, or delete your personal information, or to stop contacting you, by emailing info@gradecharter.com. Depending on where you live, you may have additional rights under state law, and we will honor them as required. We will not treat you differently for making a request. We may need to verify your identity before acting on it.
9. Information about homeowners and inspection clients
If your information appears in an inspection report that an inspection company uploaded to GradeCharter, that company controls the report. Please contact them first. We will help them respond to your request.
10. Children
GradeCharter is a business service and is not directed to anyone under 18. We do not knowingly collect information from children.
11. Changes to this policy
We may update this policy as GradeCharter grows. We will post the new version here with a new date, and we will notify account holders of significant changes.
